For an electric vehicle, add the charging cable, the state of charge at handover, and any charge-port cover damage, because these are the items most often missed and most expensive to replace. If your fleet is entirely petrol and diesel, you can reasonably skip the state-of-charge line.

How do you run a check-out inspection that protects your deposit?
Because a deposit is only defensible when the customer agreed the vehicle's condition in writing, the check-out inspection should always be done with the hirer present. Walk the vehicle together, mark each item, and photograph any existing damage before the keys change hands.

When a new mark appears at check-in, put the two records next to each other and show the customer. A dispute settled by comparing two signed checklists is a dispute that ends at the counter, not one that escalates to a chargeback weeks later. If the damage is genuinely pre-existing, the check-out record protects the customer, and that fairness is what earns the repeat booking.
